As an entrepreneur you probably receive a lot of messages with questions about the price of your products/services, delivery time and, process of providing the service etc. Preparing multiple personalized offer for a potential customer is time-consuming. Creating an offer template in the document generator
After registering or logging in to the DOKTOMY document generator panel, start by creating a document template – in example an offer for creating visual identification. From the top bar, select Document template -> Add new template. A text editor will open on the screen with fields for naming the document and detailing the used/proposed variables. First, we define the name of our file, add a short description and define the name under which it is to be saved on our disk in the document generator.
Content of the offer
The second step is to create the content that will be included in the offer. The most important information in this process is to specify variables in the document generator that can be automatically completed in further stages. To define a given word/sentence/number as a variable, simply enter it in square brackets [variable]. At the initial stage, we are shown suggested variables that we can also use. Additionally, when we define a variable in our template, it will also be visible in the suggestions. If we want to reuse a variable, e.g. [Company name], just click on the blue button under which it is specified. It will then be automatically pasted into the text, where the mouse cursor is.
Using an offer template in a document generator
When the template is ready, we save it in the document generator. It will be visible in the list of our templates. How to use it for single offers and inquiries? Select the ‘Generate document’ button next to the appropriate template -> Enter data manually. A form will appear in which you must complete the fields (previously defined variables) with the correct information. At the very top you can see the name of the template based on which we fill in the following data. At the very bottom there are additional document options that we will explore and develop in subsequent entries.
When everything is ready, select the button at the bottom of the page -> Generate document. If the data contains the correct format, you will see green notifications confirming that the form has been successfully completed and saved. Additionally, the current status of the document is visible in the ‘Generated’ column. Don’t worry, it will only take a moment! When the document is ready, the date and time the document was generated will appear. Now we can download it, which will allow us to preview the document and save it for further sending to the right person. Remember!
